The $250 installation fee covers: professional system deployment and configuration, initial property and unit data setup, creation of your user accounts and roles, a one-hour staff orientation and training session, customisation of your company name and branding within the system, and 30 days of post-installation technical support. This is a one-time charge per organisation.
Yes, absolutely. You can upgrade your licence at any time. When upgrading, we calculate the remaining value of your current licence and apply it as a credit toward the higher plan. The installation fee is only charged once — you will not be asked to pay it again upon upgrading.
RentFlow supports unlimited properties, unlimited units and unlimited tenants. Whether you manage 1 property or 100, the system performs the same. There are no data caps or feature restrictions based on the size of your portfolio.
Yes. RentFlow is a locally-installed system that stores all data on your own computer or server. You do not need an internet connection to record payments, manage tenants, or generate reports. An internet connection is only required for QR code generation on receipts (optional feature) and for receiving system updates.
Your data is stored exclusively on your own device or local server — not on our servers or any third-party cloud. RentFlow Limited has no access to your tenant data, financial records, or any information within the system. You control your data completely. The system also includes a full backup and restore feature so you can keep copies safely.
The current version of RentFlow is designed for single-device or networked local installation. Multiple staff can use it from different devices on the same local network. Each staff member has their own login credentials and is assigned a role that controls what they can see and do in the system.
All licences include WhatsApp and email support. Annual licence holders receive priority phone support during business hours. Lifetime licence holders receive a dedicated support contact line. We typically respond to all queries within 2 hours during business hours (Monday–Friday 8am–5pm, Saturday 8am–12pm CAT).

RentFlow generates comprehensive financial reports including P&L, expense breakdowns, and annual summaries that can be used as source documents for your accountant or ZIMRA submissions. For direct ZIMRA VAT return submission, we recommend using the exported data in conjunction with a registered accounting system. This feature is on our development roadmap.
Since all data is stored locally on your device, your data remains yours regardless of your licence status. The system will continue to function for the duration of your paid period. Upon expiry, we recommend exporting a full backup before the system goes into read-only mode. You can always reactivate by renewing your licence.
Yes. Within the system, you can set your company name, contact details, address, and the text that appears on all printed documents including receipts, invoices, leases and letters. For deeper custom branding (logo, custom colour themes beyond the 7 built-in), our team can arrange a bespoke customisation package. Contact us for a quote.
Yes. The installation fee includes a complimentary one-hour orientation session for your team. Additional training sessions can be arranged at $50 per session. We also provide a comprehensive user manual and are developing video tutorials. Most users report being fully comfortable with the system within 2–3 days of use.
